Wild Swims Lake District Privacy Notice

To make your swimming trip as enjoyable as possible I need to collect some information about you. I am committed to treating your personal details with care and respect, and keeping them safe and secure. I collect this information to arrange your trip, and you are free to see the information I record on you or to ask for it to be deleted.

The type of personal information we collect:

I currently collect and process the following information:

  • Personal identifiers, contacts and characteristics (for example, name and contact details).
  • In particular, I collect names, email addresses, telephone numbers, home or holiday addresses of those people who book a trip with Wild Swims Lake District. 
  • This includes participants in our trip, and also emergency contact details for someone we can contact in the event of an emergency. 
  • I also require participants to complete a short questionnaire which covers individuals swimming and walking experience and a brief summary of health issues, if relevant.
  • I will also on occasion ask permission to use photographs taken during a session for coaching or marketing purposes. I will always ask your permission about using photographs for any purpose, and you can decline this request.

How we get the personal information and why we have it:

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • So that I can contact you via email, messenger or phone to arrange a trip with us. 
  • So that I have all of your booking details confirmed, and retained for a period should you wish to book a further trip with us. 
  • So that I can organise suitable swimming trips for you, and understand your personal needs, and any health considerations.
  • So that I can provide swim coaching that assists you in your swimming development.

Under the General Data Protection Regulation (GDPR), the lawful bases I rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting Diane Mangan at dianewildswims@gmail.com

(b) We have a contractual obligation.

How we store your personal information:

Your information is securely stored on Wild Swims Lake District's IT in a secure, password protected document, which is operated by Diane Mangan.

We keep keep your personal details for a 12 month period. We will then dispose of your information by deleting all of your records from our computer. 

We may keep some images taken during swimming sessions for longer than 12 months, if you give us permission to do so in our pre-trip questionnaire. We will delete or remove images at your request.

Under data protection law, you have rights including:

Your right of access - You have the right to ask for copies of your personal information. 

Your right to rectification - You have the right to ask to rectify personal information you think is inaccurate. You also have the right to ask to complete information you think is incomplete. 

Your right to erasure - You have the right to ask to erase your personal information in certain circumstances. 

Your right to restriction of processing - You have the right to ask to restrict the processing of your personal information in certain circumstances. 

Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave me to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
